Join a dynamic Public Equity firm in the heart of New York City. We’re seeking an experienced and dedicated Executive Assistant to provide comprehensive support to our senior executives and analysts to ensure the seamless operation of our fast-paced office. While office management will not be the main skill set, this person will be responsible for maintaining and running the office of 3-5 public equity professionals. This position requires the person to be in the office a minimum of 3-4 days per week.

Salary Range: $150,000-$200,000 Annually (including annual bonus)
The ideal candidate will possess the following competencies and skills:
- An advanced scientific degree (PhD or MD) from a top university
- Possesses a strong analytical acumen
- Is organized, with strong communications skills, a self-starter and able to work in a collaborative team environment
Preferred, but not required:
- Have a solid working knowledge of Microsoft Excel and financial modeling skills in Excel (e.g., company-specific valuation, market models, etc.)
- Prior non-academic work experience in consulting, venture capital, investment banking, or at a biotech / pharma comp
Role Overview:
As an Executive Assistant, you will play a pivotal role in maintaining the efficiency and effectiveness of our firm’s operations. You will be responsible for providing high-level administrative support to our senior executives, managing complex schedules & team calendar, coordinating meetings and events, and ensuring open lines of communication between internal and external stakeholders. Your ability to handle confidential information, prioritize tasks, and anticipate needs will be crucial in fostering a productive and collaborative work environment.
Key Responsibilities:
- Manage and maintain calendars, scheduling meetings and travel arrangements for conferences.
- Maintains office services by organizing office operations, reviewing and approving supply requisitions, and assigning and monitoring clerical functions.
- Act as a point of contact between executives and internal/external stakeholders, demonstrating professionalism and excellent communication skills.
- Handle confidential information with discretion and integrity, maintaining a high level of professionalism.
- Process expense reports on a monthly basis and alert executives on spending.
- Assist in preparing investment-related documents, reports, and presentations.
- Take the lead on and manage projects on an as needed basis.
- Provide back-up to all Executive Assistants that may include meetings, travel, events, day-to-day facilities management as needed.
- Collaborate with other team members to ensure seamless communication and information flow.
- Anticipate and proactively address the needs of the executives to enhance their productivity.
Qualifications:
- Bachelor’s degree
- Proven experience as an Executive Assistant, preferably in a fast-paced environment.
- Exceptional organizational skills with a keen eye for detail.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Outlook, Office Suite and calendar management tools.
- Ability to handle multiple tasks simultaneously and work under pressure.
- Strong problem-solving skills and resourcefulness.
- Discretion and professionalism when dealing with sensitive information.
- Knowledge of the venture capital or finance industry.
- Positive attitude, proactive mindset, and a team-oriented approach.
